Background

The enquiry manager enables the sales administrator to retrieve all new and unassigned enquiries that have come in via the website, and distribute them to the sales team. It enables each sales person to view the enquiries that are assigned to them, follow up those enquiries with the customer in question and set reminders for further follow-ups. The system walks the sales person through all steps of the booking process and provides accounting reports for chasing outstanding customer payments and making payments to venues.

How the system works

Once enquiries have been assigned to individual sales people, a sales person can log in to the enquiry manager and view all enquiries that they have to follow up that day. A notes area allows a detailed history of interactions to be built up for each enquiry and customer. In the event of a customer wishing to make a booking, the details of the enquiry are transferred to the booking form. Once the booking is confirmed, confirmations are automatically generated in the form of PDF documents (created using iTextSharp) and sent both to the venue and to the customer.

The accounts section of the system allows the Accounts Administrator to process payments from customers and receive notification of payments due from customers and payments due to venues. An administration fee of 2.5% for credit cards and 3.5% for AMEX is automatically calculated when payments are processed by the system.
